Call logging, recording and transcription

Every call is logged automatically. Recording and transcription add audio, a searchable transcript and a summary.

Every K3X call is logged on the record timeline the moment you hang up. Turn on recording and you also get the audio, and with it a transcript that agents and the Command Center can read. Both are workspace settings in Settings → Phone & Voicemail.

What is logged on every call

  • Direction (outbound or inbound), duration and outcome.

  • Notes you typed in the live-call banner.

  • Who placed or answered the call.

  • The recording and transcript, when enabled.

Find calls on the timeline with the Calls filter, or type a word into Search activity.

Consent: read this first

US recording laws split into one-party and all-party consent states. In all-party states (California, Florida, Illinois, Massachusetts, Montana, New Hampshire, Pennsylvania, Washington and others) everyone on the call must know they are being recorded. Most of Europe, Canada and Australia require all-party consent as well.

The safe operating mode for any business: announce the recording at the start of every call, wherever you or the other party are. If someone asks you not to record, stop and delete any partial recording. You are responsible for call-recording consent under the K3X terms.

Turn on recording

Recording is configured per workspace by an Owner or Administrator in Settings → Phone & Voicemail. If you do not see recording controls, ask your admin. If your workspace has a recording disclosure message, turn it on so callers hear it before the conversation starts.

Where recordings live

The recording attaches to the call entry on the timeline. Expand the call to play it. Recordings are encrypted at rest. Anyone who can see the record can hear the recording, so recordings follow the same role permissions as the rest of the record.

Transcription

Transcription runs on recorded calls. No recording, no transcript. When transcription is enabled for your workspace, the transcript appears on the call entry shortly after the call ends, with a short summary at the top. Longer calls take longer to process.

What agents do with transcripts

This is where the transcript starts doing work. The Call Debrief agent template summarizes calls and updates deal next steps. You can also describe your own agent: "After every recorded call, draft a follow-up email that thanks the person, summarizes what we discussed and lists what I committed to." Other common patterns:

  • Move the deal to the next stage when the call answers a qualification question.

  • Create tasks for the action items mentioned.

  • Fill custom fields with anything new you learned.

Searching calls

Ask the Command Center: "find calls from last week where pricing came up" or "which companies mentioned a competitor on a call". Results are scoped to records you have access to.

Credits

Call minutes spend credits from your pool in the Calling category. Transcription and summaries are AI actions and spend from the same pool. There are no separate minute caps or per-minute dollar charges. See the current usage in Settings → Billing under Where credits went.

Troubleshooting

  • Recording is silent on your side. Your microphone was blocked. K3X records both sides, so a blocked mic leaves your half out.

  • Recording cut off early. The call dropped. K3X keeps whatever it captured up to the drop.

  • Transcript has wrong names or terms. Industry jargon and unusual spellings trip up speech-to-text. Add a note on the call entry with the correct spelling so search finds it.
