Import your data and migrate from another CRM

Export your old CRM to CSV, import with the + button, map columns to K3X fields, and use website and email as match keys.

Switching CRMs is mostly a data question: get your companies, people and deals into K3X without losing history. Imports are unlimited on the Adaptive plan with no per-row fee.

The path: export, clean, import

  1. Export from your current CRM. HubSpot, Salesforce, Pipedrive, Zoho and the rest can all export records to CSV. Export companies and people separately if your CRM keeps them apart; export deals as a third file.

  2. Clean the file. One row per record, one column per field, a clear header on every column. Make sure every company has a website and every person has an email; those are your match keys.

  3. Import. Click + in the top bar, choose Import CSV, upload the file and map each column to a K3X field. Columns that do not fit a standard field can go into a custom field so nothing is lost.

  4. Check progress and history under Imports in your avatar menu (top right).

Mapping tips

  • Create custom fields before you import if you already know the ones you need (Settings → Custom Fields). You can also map to a new field during the import.

  • Map owner columns to the email addresses of teammates who have already accepted their invite.

  • Pipeline stages in your old CRM rarely match one to one. Decide up front which old stages become which K3X stages. Anything unclear can land in an "Imported" stage you triage later.

  • Dates import best in ISO format (2026-10-04).

Avoiding duplicates

Use the website as the company identifier and the email as the person identifier. Import companies first, then people, so people link to the right company. If you end up with duplicates anyway, select them in the grid and use Merge in the Action Bar.

HubSpot notes

Export contacts, companies and deals separately (Settings → Import & Export in HubSpot). HubSpot lifecycle stages are not pipeline stages; map the ones that mean something to a K3X stage and drop the rest.

What does not transfer automatically

Email threads, call recordings and automations from your old CRM do not migrate as live objects. Keep read-only access to the old system for 30 to 60 days as an archive. Rebuild automations as K3X agents: you describe them in plain English, so most take minutes.

Credits

Importing records itself is free. Agents that trigger on New Company will run on imported companies and spend AI credits from your pool, so pause those agents before a large import if you do not want them to fire, or let them run if enrichment on import is the point.

Post-import checklist

  • Assign owners with Assign in the Action Bar.

  • Check that stages match how your team sells.

  • Create the two or three Smartviews your team lives in.

  • Connect Gmail or Microsoft 365 in Settings → Connected Apps so replies thread onto the imported records.
