Companies and People: how K3X organizes your CRM

A company is the account, people are the humans linked to it, and deals live on the company. Here is how the pieces fit.

K3X stores your CRM in two kinds of records: Companies and People. Everything else (deals, emails, calls, notes, files, agents) hangs off one of them.

Companies

A company is the account you are selling to. It has a name, a website, one or more people, an owner, a pipeline stage and any custom fields you add. Open the Companies tab to see every company in your workspace as a grid with columns for Companies, Website, People, Email, Phone, Lead Owner, Pipeline Stage, Date Created and Date Updated.

Deals live on companies. A company can hold several deals at once, for example a first order and a renewal. The company record shows them under PIPELINE in the right panel, and the Pipelines tab shows them as cards on a board.

People

A person is a human: a name, email addresses, phone numbers and custom fields. The People tab lists everyone with columns for People, Email, Phone, Companies, Owner, Pipeline Stage, Date Created and Date Updated.

A person is normally linked to a company. One person can be linked to more than one company, which is useful for brokers, referral partners or anyone who introduces you to several accounts. You can link and unlink people from the company record (the + Add Person button) or through Claude and ChatGPT.

A person without a company still works. You can email, text and call them, and link a company later.

Owners

Each company and person has an Owner, the teammate responsible for it. Set it from the OWNER card on the record page (Add Owner), or select several rows and use Assign in the Action Bar. Owners matter for visibility: Sales Representatives see the records assigned to them, while Sales Managers, Administrators and the Owner see everything.

What lives on a record

  • Timeline: every email, call, SMS, meeting, note and system event, in order.

  • Files: uploads and email attachments, which land there automatically.

  • Fields: standard fields plus the custom fields you add.

  • Agents: which agents are enrolled on the record.

  • Deals: on companies only.

A quick way to think about it

  • Selling to a business? Create the company first, then add the people you talk to.

  • Selling to an individual? Create the person. Add a company only if there is one.

  • Tracking money? Add a deal on the company.
