Two small setup steps make everything else work better: a real name on your profile, and a connected mailbox so K3X can send email as you.
1. Add your name
New accounts start with a placeholder name. Without a real name you show up to teammates as "New User" in mentions, the timeline and the Owner field on records.
Go to Settings → Profile.
Enter your first name and last name (both required).
Optionally add a work email and phone, and shuffle the avatar if you like.
Save.
Your name is per user, not per workspace. It is the same in every K3X workspace you belong to.
2. Connect your mailbox
Sending email from K3X requires a connected Gmail or Microsoft 365 (Outlook) mailbox. K3X sends through your own account, never from a k3x.ai address.
Go to Settings → Connected Apps.
Choose Gmail or Outlook and approve the permissions your provider asks for.
Once connected, you see the mailbox with its email and calendar event counts. If you connect more than one, pick a Default mailbox.
After connecting, replies land on the right record's timeline, attachments appear under Files, and calendar events show as meetings.
3. Set your email signature
Still in Settings → Connected Apps, use the Email signature editor. The signature is added to emails you and your agents send from K3X.
4. Review Personal AI preferences
Settings → Personal AI preferences is personal to you. K3X learns it from your assistant chats, message edits and activity, and uses it when the AI works on your behalf. It has three categories: Communication style, User preferences and Workflow patterns. Check it once at the start and again after a week of use.
Workspace-wide tone rules live separately in Settings → AI Behavior, which Owners and Administrators manage.
