Import your data and migrate from another CRM

Moving from HubSpot, Salesforce, Pipedrive, or a spreadsheet — what transfers and how to do it cleanly.

Switching CRMs is mostly a data question: get your leads, contacts, and deals into K3X without losing history. Imports and exports are unlimited on every K3X plan with no per-row import fee. Three things around imports use AI credits: every imported lead is AI-processed as it enters your workspace (so large imports draw AI credits proportionally), the AI column mapper needs available AI credits to run (with an empty balance, columns are left for manual mapping), and agents that trigger on newly imported leads bill per run. What you can bring over

  • Leads and contacts — names, emails, phone numbers, companies, and any columns you map to custom fields

  • Deals — with values and stages mapped onto your K3X pipeline

  • Notes and context — imported as fields or added after the fact

The general path: export → CSV → import

Every major CRM (HubSpot, Salesforce, Pipedrive, Zoho, and the rest) can export your records to CSV. From there:

  • Export leads/contacts and deals from your current CRM.

  • Clean the file: one row per record, clear column headers, one column per field.

  • Import into K3X and map each column to a K3X field. Unmatched columns can become custom fields, so you don't lose data that doesn't fit standard fields.

  • Spot-check a handful of records, then assign owners and confirm pipeline stages.

HubSpot notes

Export contacts and deals separately (HubSpot: Settings → Import & Export). HubSpot's lifecycle stages don't map 1:1 to pipeline stages — decide up front which lifecycle stages become which K3X stages, and put everything else into an "imported" view to triage later.

What doesn't transfer automatically

Email threads, call recordings, and automation/workflows from your old CRM don't migrate as live objects. The usual approach: keep read-only access to the old system for 30–60 days as an archive, and rebuild automations as K3X agents — they're prompt-based, so most workflow rebuilds take minutes, not days.

Post-import checklist

  • Assign lead owners (round-robin or by territory)

  • Verify pipeline stages match how your team actually sells

  • Create the 2–3 smart views your team lives in (e.g. "My open leads", "No touch in 14 days")

  • Connect Gmail/Outlook so replies start threading onto the imported leads
