Record calls in K3X

How call recording works in K3X — turn it on per-number or per-call, and the consent rules you have to follow.

K3X can record any inbound or outbound call. Recordings save to the lead's activity feed and stay attached to the lead forever — useful for QA, handoffs, deal reviews, and (with consent) training new reps.

Before we get into the how, the legal bit:

Consent. Read this part.

US recording laws split into one-party consent and two-party (all-party) consent states. In two-party states (CA, FL, IL, MA, MT, NH, PA, WA, and others), everyone on the call has to know they're being recorded and agree. Recording without consent is a felony in some of these states. International is its own thing — most of Europe, Canada, and Australia require all-party consent.

The safe operating mode for any business: always announce the recording at the start of the call, regardless of where you or the other party is. K3X has a built-in recording disclosure prompt that plays an audio message at the start of recorded calls — enable it.

If a recipient says "please don't record this," stop recording mid-call (the dialer has a Stop Recording button) and delete any partial recording afterward.

Three ways to turn on recording.

1. Per-number (always record).

Open Settings → Phone Numbers → [number] → Recording. Toggle Record all calls. Every call to or from this number records automatically. Best for: support lines, training environments, regulated industries.

Pair this with the Recording disclosure prompt toggle right below. K3X will play a configurable message at the start of every call: "This call may be recorded for quality and training purposes." Customize the wording or upload your own audio.

2. Per-call (start manually).

During any live call, click the Record button on the dialer. K3X starts recording from that moment. Click again to stop. The lead sees nothing on their end — you still need to announce verbally.

Best for: sales reps who only record specific calls (discovery, demo recaps) and want flexibility.

3. Per-agent (recorded by automation).

If you've set up an Agent that places or answers calls (e.g. an inbound qualification Agent), you can configure recording at the Agent level: open the Agent → Voice settings → Recording = always / never / on-request.

Where recordings live.

Every recording attaches to its call entry on the lead's activity feed. Click the call to expand it; the recording shows up as an audio player with timeline, playback speed (1x / 1.5x / 2x), and a download button.

Recordings are stored encrypted at rest. Default retention is 2 years; configurable from Settings → Compliance → Recording retention to anywhere from 30 days to 7 years (or "forever" on Enterprise).

Sharing and downloading.

  • Download. Click the download icon on the player. You get an MP3 file. Anyone with edit access to the lead can download.

  • Share link. Click Share to generate a signed URL anyone (even outside your org) can click to listen. The link expires after 7 days by default — adjust on creation.

  • Delete. Recording owners or admins can delete individual recordings from the player menu. Deletion is permanent and is logged in the audit trail.

Costs.

Recording itself is included in your plan. Storage is included up to 10,000 minutes of recordings per seat per month; beyond that it's $0.0025/minute stored. For most teams the included pool is far more than they'll ever use.

Troubleshooting.

  • Recording is empty / silent. Almost always a microphone permission issue. K3X records both sides of the call; if your mic was blocked, your half won't be on the recording.

  • Recording cut off early. If the call dropped (network issue), the recording ends at the drop point. K3X auto-saves whatever it captured up to the drop.

  • Don't see the Record button. Your role might not have call recording enabled. Check with your admin (Settings → Roles → [role] → Voice → Record calls).

  • Recording isn't legal here. Some jurisdictions (parts of Europe, e.g.) require additional documentation. If you're unsure, talk to your legal team before turning on per-number recording. Per-call gives you better control.
